Booking Terms & Conditions

Africa Made Easy is unable to guarantee that the information relating to pricing, itineraries and availability will remain unchanged after publication on this website.

Please read the following booking conditions carefully, as they set out the terms and conditions of the contract between you and Africa Made Easy. Please note that we act as booking agents for the various suppliers of the component parts of the holiday which we organise, and as such, bookings for their services will form a direct contract between you and the relevant supplier and will be subject to that respective supplier’s standard terms and conditions. A copy of the Terms and Conditions is available upon request.

 


 

1) Bookings

Bookings are confirmed on the condition that 100% of flights are paid upfront and up to 50% of hotel bookings are paid in advance within 24 hours of confirmation. The remaining balance of hotel and land arrangements must be paid no later than 30 days prior to departure.

If your booking is made within 30 days of departure, the total cost of your travel arrangements must be paid in full at the time of booking.

Please note: FAILURE TO PAY ON TIME WILL RESULT IN THE AUTOMATIC CANCELLATION OF YOUR BOOKING.

 


 

2) Price Changes

  1. a) The costs associated with the travel arrangements are not always stable, and currency movements can fluctuate. It is impossible to predict these movements in advance. When you book travel arrangements through us, Africa Made Easy reserves the right to pass on any fluctuations and surcharges to you until full payment is received.
    b) Peak season surcharges and block-out dates may apply.
    c) Airfares are subject to the prices and conditions quoted by the particular airlines and cannot be guaranteed by Africa Made Easy. The responsibility is on the client to check that there have been no changes in these prices before making final payment.
    d) Should a group reservation fall below the required minimum numbers, Africa Made Easy reserves the right to re-cost the price and raise a surcharge.

 


 

3) Methods of Payment

  1. a) Credit Cards: Payment may be made using Visa or Mastercard only via our secure online payment portal (details available on request).
    b) Cash or EFT Transfers: We accept EFT transfers or cash deposits into our bank account, subject to proof of payment being provided and confirmed as received.

 


 

4) Insurance

It is strongly advised that all clients take out adequate insurance cover such as cancellation due to illness, worldwide epidemics (e.g. Coronavirus), accident or injury, personal liability, loss of or damage to baggage, and sports equipment.

Africa Made Easy will not be responsible or liable if the client fails to take adequate travel and medical insurance cover . Participation in activities may involve risks. Clients agree to participate at their own risk.

 


 

5) Flight and Other Travel Timings

Flight timings are provided by airlines and are subject to Air Traffic Control restrictions. All means of transportation are subject to weather conditions, the need for constant maintenance, and the ability of passengers to check in on time. Africa Made Easy accepts no liability for delays or schedule alterations.

 


 

6) Flight Reconfirmation

It is your responsibility to reconfirm the departure date and times of all flights at least 72 hours prior to departure. Africa Made Easy specifically excludes any liability for any delay and/or loss as a result of your failure to reconfirm.

 


 

7) Documents

  1. a) Documents (vouchers, itineraries, etc.) are only prepared on receipt of full payment and completed booking/indemnity forms.
    b) Should you require your documents to be couriered, the costs will be for your account.
    c) It is important that you check all details of your travel documents (including your itinerary). Africa Made Easy will not be liable for errors once documents are issued and you have departed.

 


 

8) Unscheduled Extensions

In the unlikely event of unscheduled extensions caused by delays, strikes, or circumstances beyond our control, additional expenses (accommodation, transfers, etc.) will be for your account.

 


 

9) Changes by You

Any changes requested by you before departure may incur charges imposed by suppliers. After departure, any changes will be for your account and unused services will not be refunded.

 


 

10) Cancellation by You

If you cancel your booking, cancellation charges will apply, including (but not limited to):
a) Airline special fares may be 100% non-refundable.
b) Suppliers may impose their own cancellation charges.
c) Africa Made Easy reserves the right to charge a cancellation fee equal to 10% of the package price, in addition to supplier charges.

 


 

11) Our Right to Change Your Travel Arrangements

Africa Made Easy reserves the right to make changes to your travel arrangements if necessary. If a supplier cancels a confirmed service, Africa Made Easy accepts no liability for such cancellation.

 


 

12) Airline Refund Procedures

Refunds are subject to airline policies and may take up to 12 weeks. Partly used tickets are refunded at less than a pro rata rate.

 


 

13) Complaints

Any complaints must be reported immediately to the supplier and Africa Made Easy while travelling. If unresolved, written complaints must be submitted within 7 days of return.

 


 

14) Passports, Visas and Health

It is the client’s responsibility to ensure that all passports, visas, vaccinations, and health requirements are met. Passports must be valid for at least 6 months after return to South Africa.

 


 

15) General Information

  • Taxes: Certain departure taxes must be paid locally.
  • Special Requests: Cannot be guaranteed.
  • Medical Problems: Must be disclosed at booking.
  • Renovations: Hotel renovations will not be grounds for refunds.
  • Credit Card Charges: Any charges made abroad are your responsibility.
  • Driver’s Licence: Carry both national and international licences.
  • Confidentiality: Africa Made Easy treats personal information confidentially, subject to legal requirements
  • Clients must follow instructions from guides and staff

 


 

16) Force Majeure

Africa Made Easy cannot accept liability or pay compensation where performance is prevented by events beyond our control (e.g. war, strikes, pandemics, natural disasters, etc.).

 


 

17) Responsibility and Limitation of Liability

Africa Made Easy acts only as an agent for operators and airlines and accepts no liability for loss, damage, injury, or delay.

 


 

18) Jurisdiction

Africa Made Easy shall be entitled to institute any legal proceedings arising out of this contract in any Magistrate’s Court having jurisdiction in South Africa.

 


 

19) Legal

This agreement is governed by the laws of the Republic of South Africa. No party shall be bound by any representation not recorded herein.

 


 

20) The Client and Authority

The person requesting a booking is deemed to have read, understood, and accepted these conditions and has the authority to act on behalf of all travellers in the booking.

 


 

21) Visuals

Any visuals used by Africa Made Easy (photos, videos, etc.) are copyrighted and may not be used or replicated without prior consent.

 


 

22) Forex Allowance

Please note: In South Africa, the cost of land arrangements (such as hotels, cruises, and tours) forms part of the annual travel allowance, but local payment of airfares does not.

 


 

23) Protection of Personal Information

By signing our booking contract, you authorise Africa Made Easy to collect and process your personal information as required to provide travel services. Africa Made Easy is committed to safeguarding your data in line with POPIA.
